Your recordings stay yours
Pepys sells transcription, not your data. We never use your audio, video, or transcripts to train our own models; your files are encrypted in transit and at rest; and you can delete any transcript, or your whole account, at any time. Anonymous trials are deleted automatically about 12 hours after upload.
We never train on your content
Your uploads, transcripts, and derived outputs are never used to train our own models. Text sent to our AI subprocessors is routed through a gateway configured for zero data retention, and isn't used to train their models where our agreements support that.
Encrypted in transit and at rest
Everything you send travels over HTTPS/TLS, and your files and transcripts are encrypted at rest through our infrastructure providers.
You own it, and you can delete it
You keep ownership of your content and the transcripts made from it. Deleting a transcript removes its data; deleting your account cascades to your files, jobs, transcripts, and credit ledger.
Anonymous trials delete themselves
Try Pepys without an account and your job and its media are deleted automatically about 12 hours after they're created, unless you claim them by signing up. Your first 60 minutes are free.
Payments you don't have to trust us with
Payments run through Polar, our Merchant of Record, using Stripe (a PCI-DSS Level 1 processor). Pepys never stores your full card number, only its brand and last four digits.
A small, role-based set of subprocessors
We rely on a short list of vendors for hosting, storage, transcription, AI processing, payments, and email. We describe them by the role each plays, and the current specific list is available on request.
What happens to a file you upload

Upload
You upload a file or paste a link. The media is stored in encrypted cloud object storage.

Convert
Audio is downsampled and split into chunks for processing. Nothing is published or shared.

Transcribe
Chunks go to a speech-to-text provider, and the transcript is reassembled and stored against your account.

Enrich
Transcript text may go to an LLM provider, through a zero-retention AI gateway, for summaries, chapters, translations, and chat.

Delete
Delete a transcript, or your whole account, whenever you like. Anonymous jobs are purged automatically after about 12 hours.
What we do, and don't, claim
We'd rather tell you the limits up front than imply a guarantee we can't back. Here's the honest line.
We do
- Keep your content out of model training, ours and our subprocessors'.
- Encrypt your data in transit and at rest.
- Let you delete any transcript, or your whole account, on demand.
- Route AI enrichment through a zero-retention gateway.
We don't
- Sign HIPAA Business Associate Agreements, or act as a Business Associate.
- Claim certifications we don't hold.
- Sell your personal information or share it for cross-context ads.
- Keep anonymous trial files, they're purged after about 12 hours.

How do I delete my data?

Deleting a transcript removes its associated data; deleting your account cascades to your files, jobs, transcripts, and credit ledger. We may keep limited transaction and credit-ledger records where required for legal, accounting, and tax purposes.

If you try Pepys without an account, your job and its media are deleted automatically about 12 hours after they are created, unless you claim them by creating an account.
Is Pepys HIPAA compliant?

Do you store my credit card?
No. Payments are handled by Polar (our Merchant of Record) and its PCI-DSS Level 1 processor, Stripe. Pepys stores only your card's brand and last four digits, never the full number.
Where is my data processed?
Pepys is based in the United States, and your data is processed primarily in the US and in other countries by our subprocessors. We can detail a specific subprocessor's processing locations on request at contact@pepys.co.
